Dolce & Gabbana, a global leader in the fashion luxury industry, is offering an exceptional opportunity for professional growth in the role of Warehouse Administration Specialist, based at our Milan Headquarters. The selected candidate will be responsible for ensuring efficient end-to-end logistics coordination — from planning to post-event — for Pret-à-Porter and Alta Moda events, collaborations with licensees, and other corporate activities, both nationally and internationally. This role operates in alignment with project inputs defined and approved by the Global Marketing & Communication and Creative Direction, and in full compliance with Dolce & Gabbana’s brand guidelines.

 

Main activities and Responsibilities:

 

  • Coordinate the logistics process across all event phases (design, production, execution, post-production), based on project manager input, with a focus on transportation planning and route validation in collaboration with the Logistics Department;
  • Oversee, update and setup inbound/outbound logistics plan at the events location;
  • Identify, assess and liaise with logistics service providers (e.g., transport, loading/unloading warehouse rental) for supplier selection;
  • Participate to tender, preparing documentation and analyzing data to present the most competitive proposal;
  • Monitor logistics costs from budgeting to final invoicing, approving changes in alignment with the project manager;
  • Interface with stakeholders to assess logistics needs and provide continuous updates, ensuring timely and compliant delivery of materials;
  • Prepare transport documentation and ensure proper tracking and reporting in coordination with the relevant internal departments;
  • Liase with logistics services provided by external production agencies, ensuring alignment with the agreed roadmap;
  • Manage post-event insurance reimbursements where applicable;
  • Ensure correct asset registration and inventory of furniture/setups liaising with Dolce & Gabbana’s Administration Office;
  • Provide back-office support (e.g., archiving quotes/orders/invoices, managing delivery notes and purchase orders);
  • Search innovative logistics solutions and new suppliers, in order to provide logistic efficiency improvements for Dolce & Gabbana events.

 

Key requirements & competencies:

 

  • Minimum 5 years of experience in similar roles within the fashion luxury industry;
  • Advanced knowledge of Microsoft Office and SAP, familiarity with other ERP systems is a plus;
  • Strong understanding of logistics flows in the planning and execution of large-scale events;
  • Fluent in written and spoken English;
  • Excellent communication skills with both internal and external stakeholders, respecting corporate processes and responsibilities;
  • Problem solving skill and ability to work under preassure;
  • Flexibility to business travel.
