Mission of the position
•The receptionist is the first point of contact for the company and provides administrative support across the organization, handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner. Responsible for providing Travels and administrative support
Receptionist Skills and Qualifications:
•Telephone skills, verbal communication, Microsoft office skills, listening, professionalism, organization.
•Basic level of English.
•Reporting directly to the Travel Manager Americas
Main Responsibilities
•Efficient in the Travel Department and Administrative office support
•Answering calls and liaising with clients , suppliers, etc. competently
•Assisting the Mexican team, being constantly in touch with other departments.
•Planning and organization of administration tasks
•Organizing and preparing travel itineraries: purchasing and booking airline tickets, hotels, restaurants, and car rental. Also, preparation and controlling of the travel budgets.
•Help in the planning, organization and managing corporate events, regional meetings, etc. when applicable.
•Conducting research on travels subjects: analysis, market research, performance reports, weekly reports.
•Managing and reviewing filing and office systems
•Sourcing and ordering stationery and office equipment
•Organization of international visitors' travel arrangements if applicable.
•Explore options to decrease costs in trips, hotels, and stuff. Negotiation of better rates and discounts with airline companies and maintain a relationship with the hotels all over our region, having special discounts and corporate rates.
•Responsible for the organization and support of Mexico Team´s travel issues such as documentation, VISAS and stuff.
